Job Summary

We are seeking a detail oriented and proactive Project Officer to support administrative, coordination, and operational functions of the project. The role requires strong organizational skills, effective communication, and the ability to manage multiple tasks efficiently while ensuring smooth project execution.

Key Responsibilities

  • Assist in project-related communication and coordination, while maintaining accurate records of all correspondence and submissions to the Project Manager.
  • Support the management of administrative functions, including maintaining records, filing systems, and handling incoming and outgoing correspondence.
  • Monitor and manage office supplies and equipment, including maintaining inventory registers, conducting periodic verifications, and coordinating with vendors to ensure uninterrupted availability of resources.
  • Initiate and process administrative files and documentation, ensuring timely approvals from management.
  • Prepare and maintain reports related to expenses, office budgets, and administrative expenditures.
  • Facilitate travel arrangements and logistics for project staff, trainers, and participants for both internal and external events.
  • Coordinate schedules, organize meetings, and circulate notifications, including those related to tender openings and other administrative matters.
  • Provide operational support by handling office equipment such as printers, photocopiers, and other essential devices.
  • Ensure compliance with organizational administrative procedures and maintain proper documentation standards.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field
  • 5–6 years of relevant experience in administration, project coordination, or operations support roles.
  • Strong organizational and documentation management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and office management tools.
  • Experience in handling logistics, vendor coordination, and administrative processes.
  • Ability to multitask, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Prior experience in development projects or multi-stakeholder environments will be considered a plus.
