Job Description:
Mission 1: Supervision, Monitoring and Management of ICT and Telecommunication environment of the mission
The IT Associate is responsible for:
- ensuring and implementing ICT strategy at mission
- ensure that all the IT standard of Action Against Hunger are strictly followed
- support HoD Log in ICT chapter while producing high quality and timely logistics contributions to "proposals" and reports for funding bodies
- installing and maintaining local networks (and other peripherals connected to the network) in the mission according to standards
- the management of telecommunications resources (local phones, modem, Internet etc)
- follow-up internet connection and their quality assurance
- assist HoD Log to manage the energy backup system of the mission
- manage user’s data backup properly using ACF’s standard tools
- Ensure security of ACF ICT and Telecommunication environment
Task examples:
- Deployment and maintenance of ICT infrastructure at all bases of mission.
- Deployment/update the software (operating system, MS office, antivirus etc.) at all bases of mission
- Deployment of NAS, make sure each user makes their data backup and follow-up the backup system
- Make sure to provide quality ICT service to all users throughout the mission
Mission 2: Providing business support for ACF’s digital systems and records
The IT Associate is responsible for:
- ensuring definition of the digital archive organisation on NHF and the server
- ensuring the implementation of an archiving system conforming to ACF logistics guidelines
- protect ACF’s data using the standard tools defined by ACF
- ensuring and implementing user management systems enabling work
- Seeking out digital solutions for different users at the mission
- Providing backstopping support or digital systems
- Supporting in the formation of the digital database of beneficiaries, including consideration of data protection
- Create and implement a digital data protection policy
Mission 3: Coordinate ICT & logistics at Capital level
The IT Associate is responsible for:
- Adhere ACF logistics regulations across Pak-Mission, and ensuring compliance with them
- Support on logistical activities at capital/bases
- Ensure safety standards including electrical standards are maintained at all bases across Emergency Program working areas.
- ensuring overall internal controls for optimal procurement of ICT equipment and their management
- ensuring all staff are aware of ICT procedures and best practices and are well trained for the proper use of ICT resources
- regular capacity building/ induction of all staff on new ICT developments
- provide prompt support to the end user on ICT issues
- ensuring an ICT policy is in place at the mission and signed by all staff
- sensitize users to follow the ICT charter for the proper use of Information and communication Technologies
Mission 4: Collaborate with team and coordination office in the management of international procurement/ transport
- Ensure local, national and international procurement practices are compliant with ACF and donor regulations, strong coordination with all relevant stake holders
- Ensure international and national transportation of freight by land, sea and air is in line with program budgets and timely delivery of supplies to Program/Projects
- Coordination with line departments for timely clearance of consignments, shipment to storage areas, securing exemptions, aligning documentation with ACF required levels.
- close coordination with HQ infra team on the deployment of new ICT infrastructure & deployment of the software (operating system, MS office, antivirus) and their updates follow-up
- liaison between HQ and mission for any software and applications used in the mission.
- local market survey for ICT procurement and provide technical feedback whenever required and liaise for the validation
- reception of ICT equipment procured at HQ level
- assist Logistics Manager liaising with PTA to obtain NOC for ICT equipment
Mission 5: Monitoring and Management of Equipment and Inventory Management at office and warehouse
The IT Associate is responsible for:
- developing repair & maintenance plan of ICT equipment & inventory
- ensure all relevant equipment including photocopyingachines, printer, scanners, CCTV & telephone exchange are operational through routine checks and repairs follow up suppliers as per FWA and advice HoD Log about level of services received from companies engaged with ACF
- testing all ICT equipment received from HQ and the local supplier and make sure they are functional
- ensure proper documentation of all ICT assets & equipment released to the user and loaned to internal or external parties, implementing ACF ICT regulations throughout the mission and ensuring compliance with them
- ensure good record keeping of ICT inventory allocated to the users and temporary allocation forms are signed
- ensure all the equipment are tagged properly before using
- maintain the master equipment list at coordination level, manage and update the equipment transfer between the bases
- proper management of e-waste and their documentation
- Ensure all warehouses and premises are maintained in accordance with ACF set standards, and ensure that stock management and administration systems are implemented
- Monitor projects stock levels and update staff for replenishment to meet project demands.
- Ensure facilities and compound management across all sites; ensuring that adequate security measures, asset maintenance, power and water supplies are carried out. Also ensure facilities and compounds condition are in line with health and safety standards of ACF, and ensure timely rectification of problems/issues
- Production of relevant reports, ensuring accuracy and compliance with ACF set policies
Mission 6: ACFs gender equality, child protection sensitivity and Safeguarding policies
- Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies
- Implement all work related activities with a gender, inclusion and child protection lens
- Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability.
