THE POSITION:

This position is located at Head office in Quetta and reports to the Project Manager

SIGNIFICANCE OF THE POSITION:

S/he will primarily be responsible for overall records keeping for the Programme as per grant agreement. S/he will also be responsible to prepare weekly, monthly, and other period updates for onward review by Project Manager and further submission to Project Management Unit (PMU). S/he will also support Project Managers for preparation of annual reports of project. S/he will also review all material and updates to be shared with district level stakeholders.

More Specifically:

  • Records Management
    • Maintain comprehensive and well-organized records of project activities, reports, correspondence, and other documentation in both digital and physical formats.
    • Ensure all documents are stored securely and can be retrieved efficiently when needed.
  • Reporting and Updates
    • Prepare weekly, monthly, and periodic reports in coordination with district teams and technical staff.
    • Consolidate data and updates from the field and ensure accuracy and consistency before submission to the Project Manager and onward submission to PMU.
  • Annual Reporting
    • Support the Project Manager and relevant team members in compiling and drafting the annual report for the project, including success stories, key achievements, and challenges.
  • Content Review and Quality Assurance
    • Review all updates, documents, and communication materials prepared for district-level stakeholders to ensure alignment with project goals and communication protocols.
    • Proofread and edit reports and materials to maintain high quality, clarity, and consistency.
  • Support Functions
    • Assist in organizing review meetings, field documentation visits, and knowledge-sharing sessions.
    • Maintain logs of all submissions, report timelines, and feedback received.

INTERNAL/EXTERNAL INTERACTIONS internally with all functional departments within organization.

EDUCATION, EXPERIENCE AND REQUIRED SKILLS:

 

  • Master’s degree in Social Sciences, Development Studies, Mass Communication, or a related field.
  • Minimum 5 years of relevant experience in documentation, reporting, or project communications.
  • Understanding of development projects, preferably in livelihood or MSMEs-related initiatives.
  • Knowledge of the local context in Balochistan is an asset.
