This position is open on a rolling basis and will be filled upon the availability of a suitable candidate. 
  1. Job Profile 

The Job Placement Assistant will provide essential support in facilitating job placement activities for program beneficiaries, ensuring successful market integration and employment opportunities. This role will involve maintaining databases, assisting in networking efforts, supporting promotional activities, and providing administrative and logistical support to the Senior Job Placement Officer in delivering key project outcomes. 

  1. Key Responsibilities  

  1. Database and Record Management: 

  • Assist in developing and maintaining an up-to-date database of trainees and job opportunities in target markets. 

  • Maintain accurate records of job placements, enterprise products, and market linkages. 

  1. Market Engagement Support: 

  • Assist in mapping job opportunities in on-farm and off-farm sectors and target markets. 

  • Support the preparation and organization of inventories for product promotion and exhibitions. 

  1. Networking and Linkages: 

  • Provide logistical and administrative support in establishing connections with private sector entities, public sector organizations, and financial institutions. 

  • Facilitate communication with stakeholders such as SMEDA, Chambers, and cooperatives to support market inclusion and access to resources. 

  1. Promotional Activities: 

  • Assist in organizing exhibitions, roadshows, and other promotional events for program beneficiaries. 

  • Support the creation and maintenance of product displays in key market areas. 

  1. Capacity Building and Training Support: 

  • Assist in the preparation of training modules and materials on marketing and entrepreneurship. 

  • Provide logistical support during capacity-building sessions, including participant coordination and material distribution. 

  1. Administrative and Reporting Support: 

  • Prepare and submit activity reports, meeting minutes, and progress updates to the Senior Job Placement Officer. 

  • Assist in developing Information, Education, and Communication (IEC) materials for products and job placement. 

  • Maintain and track project timelines and work plan to ensure timely execution of activities. 

  1. General Duties: 

  • Provide on-ground support during field visits, stakeholder meetings, and events. 

  • Perform other tasks as assigned by the Senior Job Placement Officer or Program Manager to ensure smooth project implementation. 

 

Documentation and Reporting: 

  • He/she will maintainaccurate records and documentation of project activities and outcomes.  

  • He/she will record and maintain the income tracker of skill training beneficiaries 

  • Contribute to the preparation of timely and comprehensive project reports 

  • Any other assignment by the supervisor/line manager.

Person Specification 

Education:Bachelor's degree in business administration, Economics, Social Sciences, or a related field. 

Experience: 

  • At least 4 years of experience in a similar role, preferably within the NGO sector. 

  • Familiarity with job placement processes, market engagement, and promotional activities. 

Skills: 

  • Strong organizational and multitasking skills. 

  • Proficiency in MS Office (Word, Excel, PowerPoint) and database management tools. 

  • Good communication and interpersonal skills. 

  • Ability to work collaboratively with team members and stakeholders. 

Attributes: 

  • Self-motivated and detail-oriented with a proactive approach to problem-solving. 

  • Willingness to travel to field locations as required. 

  • Commitment to the mission and values of organization
